Primary Responsibilities:

  • Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Directly support Executives in any administrative needs they may have.
  • Ability to work flexible hours to accommodate the department deadlines and schedule vacation around key events such as fund raising.
  • Demonstrates a meticulous eye for detail, accuracy, and high standards of presentation.
  • Coordinates lunch for management meetings and company events
  • Provides support and planning for entertainment and events, such as the company annual dinner, company picnics, etc.
    • Send and track calendar invitations for events and track RSVPs
    • Secure location and entertainment
    • Responsible for other details involved in the event
  • Occasionally runs errands and scheduling appointments.
  • Purchases gifts for employees for important events and for clients/customers
  • Assist Marketing with inventory control of company products for new employees being onboarded, “swag bags,” charity events, new customers, and field employees’ shirts and hard hats.
  • Point of contact for outside vendors and setting appointments (janitorial, general maintenance & office upkeep, landscaping, window washing etc.)
  • Creates PowerPoint presentations for Operations meetings for management every other month and other meetings as needed.
  • Credit card management:
    • AMEX travel for executives  
    • replacing and assigning cards
    • handling fraudulent issues, etc.
  • Overseeing front desk Administrative Assistant/Receptionist and part time Office Assistant.

Experience/Education/Skills:

  • Advanced proficiency working with Microsoft Office (Word, Excel, PowerPoint, and Outlook), CRM and a strong aptitude for learning new technology and programs.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders and other office staff.
  • Expert level written and verbal communication skills.
  • Forward looking thinker that is proactive with setting appointments and taking care of other office related tasks
  • Ability to take initiative and ownership of projects and see through to completion with limited supervision.
    Advanced in Adobe, Concur, Zoom Video Conferencing & the ability to schedule within various time zones.
